How Premagic integrated with Luma for a cleaner workflow
Who is Accel?
Accel is one of the world’s most active and respected venture capital firms, backing companies like Flipkart, Freshworks, Swiggy, and Slack. They regularly host community and founder-focused events that require seamless coordination and premium guest experience.
Who is Luma?
Luma is an all-in-one event management platform designed for creators, startups, and communities. It handles RSVPs, ticketing, approvals, discovery, and post-event communication through a user-friendly interface. Accel had been using Luma as their go-to tool for all event registrations.
They relied on Luma for everything from ticketing and discovery to approvals and communication.
So when they brought in Premagic to manage event photos, this got a tad tricky. As you know, Premagic’s photo distribution system runs on facial recognition—attendees upload a selfie ahead of the event so the AI can instantly find and send them their photos.
Now with Luma in the loop, this just served as another registration step. After already signing up via Luma, attendees had to scan a new QR, fill out another form, and upload their photo. Two similar workflows on two systems just created one unnecessarily complicated journey.
Accel didn’t want that. And honestly, neither did we.
They just wanted things to work together. No extra steps, no repeated registrations. Just a seamless experience for their team and their guests.
So we built the bridge.
The only feasible solution seemed to be to join hands with Luma and create an integrated workflow. We worked closely with the teams at Luma and Accel to build a custom integration - one that pulls attendee data from Luma and kicks off Premagic’s photo registration journey automatically.

Here’s how it works:
- Luma remains the source of truth: All attendee data is first collected via Luma’s registration form. This includes basic details like name and email, as well as any custom fields or information Accel requires for their events. Whatever attendee info is collected there—names, companies, custom questions—stays intact.
- Premagic imports that data: Once the registration period ends (or at scheduled intervals), the Premagic team imports the approved registrant data from Luma using API. This ensures that only validated and confirmed attendees move forward to the photo registration stage.
- Approved attendees in Luma are automatically registered as attendees in Premagic: Without any manual downloads, no CSV files floating around, all approved attendees are registered within Premagic, making the process not just seamless, but also more secure. No one touches the data physically, which means fewer chances of errors or breaches, and a much smoother handoff between platforms.
- Trigger personalized photo registration: Once the attendee list is ready, Premagic sends out a message (via email or WhatsApp) asking each attendee to upload a selfie to complete their registration. Since their details are already in from Luma, they only need to submit a photo—no extra forms.
- Reminders and scheduling: To maximize completion rates, Premagic automatically schedules reminder messages a day before the event. This ensures that most attendees have completed their photo registration ahead of time, making onsite operations smoother and faster.

With our built-in Luma integration, you don’t need technical help or custom workflows. It’s a plug-and-play experience designed for speed and ease.
With our built-in integration, all you have to do is:
- Log in to your Premagic dashboard
- Click on “New Event.”
- Select the “Import from Luma” option
- Choose the event you want to sync
And that’s it.
